Check the journey.
Not just the total.

Before you export a trip log, check what each number came from. A tidy total can still hide the wrong vehicle, a missing journey or an uncertain GPS estimate.

Start with one vehicle and one unit

Do this while safely parked, not while driving. You can use a notebook or your own spreadsheet; no app is needed.

  1. Identify the vehicle. An odometer reading belongs to that vehicle, not to your phone or account.
  2. Write the unit beside the readings. Keep kilometres and miles separate. Do not subtract readings from different vehicles or combine unlike units into one total.
  3. Record the date, route and actual purpose. Use enough detail to recognise the journey later. Keep private customer or home details out of a file when they are not needed by its recipient.
  4. Label the source. A distance from two odometer readings differs from a GPS estimate or a remembered number. If you do not know, write “unknown” rather than inventing a journey.

This is a record-quality check, not a determination that a trip qualifies for reimbursement or a tax deduction. Ask the relevant recipient which records they require; the worksheet does not replace their rules.

The day totals 45 km. The listed trips do not.

All readings below are fictional, in kilometres, from the same vehicle. Its odometer was 10,000 km at the beginning of the day and 10,045 km at the end. The three recorded journeys cover only 38 km.

Whole-day odometer change: 10,045 − 10,000 = 45 km
Listed journeys: 24 + 9 + 5 = 38 km
Unaccounted difference: 45 − 38 = 7 km

The 7 km difference is a question to investigate, not proof of a work journey. Check the original notes, dates and readings. If you cannot establish what happened, keep the interval unresolved. Do not assign every kilometre in the day to work because the first and last readings are available.

A copied row creates a different problem: adding the 24 km journey twice would produce 62 km of listed trips. Check for duplicates before deciding that the odometer total is wrong.

A GPS trace is an estimate, not a replacement fact

Suppose your odometer-based entry is 24 km, while a GPS session estimates 22.7 km and shows an interval without signal. Do not silently average the figures or remove the gap warning. Keep the sources distinguishable, check whether the session covered the whole journey, and explain which figure you chose and why.

An entry from vehicle B ending at 48,900 km cannot be reconciled against vehicle A starting at 10,000 km. Even a mathematically valid subtraction would describe no actual journey. Separate vehicles before checking completeness.

Review corrections visibly in your own notes: original value, corrected value, reason and when you checked it. Never label a remembered or manually corrected value as a verified GPS measurement.

Open the actual export before sending it

  • Scope: confirm the dates, vehicle and intended records. Check for missing and repeated journeys.
  • Units and source: confirm that units remain clear and uncertainty has not disappeared.
  • Purpose: retain the distinctions you recorded. A “business” label alone does not establish eligibility under someone else's policy.
  • File: open the CSV or PDF you will actually send. Check the recipient can use it; successful export does not prove acceptance or payment.
  • Privacy: share only what the recipient needs. Keep original records and a backup somewhere you control.

If a report calculates an amount from a distance and a rate, confirm the unit and the rate you entered. Arithmetic is not approval of that rate or a promise of reimbursement.
